Life Wilgers Hospital: Ward Secretary/Stock Controller (Short term contract)

A vacancy exists for a Sessional Ward Secretary/Stock Controller for a period of four and a half months at Life Hunterscraig Hospital, reporting to Carolyn Reynolds, Nurse Manager.  The successful candidate will contribute towards the optimal functioning of the nursing team through effective: interdepartmental liaising, communication and Administrative support to the nursing team.Critical OutputsWard Clerk responsibility:

Ensure optimal service levels whilst understanding and striving to achieve target:

  • To ensure the speedy and effective execution of non-nursing activities.
  • Attend meetings and in-service training as scheduled.
  • Ensuring a safe environment in all areas of the unit through staying up to date with safety standards
  • Knowledge of emergency plans and actions.
  • Elimination of medico legal risks through the correct identification and filing of patient’s documentation.
  • Maintenance of a positive appearance and behaviour, within and outside hospital relation.
  • Friendly and helpful client service.
  • Live up to the Quality principles.
  • Professional secrecy and discretion during contact with customers and colleagues.
  • Ensuring of effective communication between customers and colleagues.

Stock Control responsibility:

Effective medication safety management

  • Report 100% of inventory incidents and develop and implement remedial actions as appropriate
  • Complete trend analysis with relevant actions quarterly with Pharmacy
  • Report 100% of alerts and develop and implement remedial action and complete a trend analysis quarterly

Effective quality management systems

  • Participate in the implementation and compliance to LHC Quality management systems
  • Ensure compliance with SAPC, DOH, and LHC legal and professional standards
  • Achieve required customer service levels

Effective financial management

  • Participate in achieving hospital budgeted financial measures relating to pharmacy and theatre stock management

Effective product management

  • Participate in the active management of cost of sales of pharmaceuticals in line with revenue, budget and set targets
  • Build effective working relationships with doctors

Effective asset management

  • Participate in achieving stock targets
  • Achieve optimal system utilisation
  • Perform stock counts.
  • Sell dead stock.
  • Maintain preferred levels
  • Order and unpack stock
Requirements
  • Grade 12 (Matric certificate required – proof)
  • General administrative experience: minimum 1 – 2 years
  • Previous private health care experience will be advantageous.
  • Computer literacy and proficiency in Microsoft Office (excel, word) is essential.
  • Ability to co-ordinate well: staff and patient bookings, billing and stock control
  • Well-developed telephonic and communication skills required
  • Be able to work flexi-hours, especially over month- and year end times.
  • Must be fully vaccinated against COVID-19.
